Custom rebate

Develop the scope of your project either by contacting a contractor of your choice or by working with your internal staff. Then follow these simple steps to receive your rebate:

  1. Contact an Energy Solutions Representative at 888.316.8023 or send an email to determine eligibility.
  2. Submit the custom rebate program application for approval prior to starting the project, along with the following supporting information:
  • Project overview
  • Existing and proposed system descriptions
  • Energy impact and cost calculations
  • Manufacturer’s data sheets
  1. If your project involves multiple measure types (such as lighting and refrigeration), copy pages 2 and 3 of the custom rebate application and provide the required information for each measure type.
  2. Note: Project expenditures made by the customer prior to the customer receiving approval of an application may not be eligible for incentives. Only measures not eligible for prescriptive rebates may be submitted to the custom rebate program.
  3. A site inspection may be required as part of our approval process.
  4. You will be notified in writing when your project has been approved to proceed and what the operational requirements will be.
  5. After you receive approval, purchase and install the new equipment. Please contact an Energy Solutions Representative at 888.316.8023 or by email before implementing. Projects must be completed within 180 calendar days of project approval.
  6. Once your project is complete, sign and resubmit your application with authorized signature and supporting documentation including detailed invoices. Be sure the final equipment is identical to the equipment specified in your initial application. 
  7. IRS Form W-9 must be completed and submitted with your application materials for the party receiving the incentive payment. IRS Form W-9 is available at www.irs.gov.
  8. A post installation inspection may be required to verify the project is installed as proposed.
  9. You will be notified in writing when your project has been approved for payment.
  10. You will receive your incentive check within 6 to 8 weeks after verification of the
    approved project. 

Prescriptive rebate program participation instructions

Start by having your contractor, distributor, or internal staff estimate the total rebate amount for your equipment. Determine if preapproval is required. If total rebates are less than $10,000, then preapproval is NOT required.

Follow the steps below to receive your rebate.

For projects where preapproval is NOT required.
  1. Purchase and install the new equipment.
  2. Within 90 days of equipment installation, complete and submit the appropriate application with authorized signature. Include the following required documents to expedite processing:
  • Itemized project invoice(s) with labor and material breakdown
  • Product specifications (cut sheets)
  • IRS Form W-9 must be completed and submitted with the application materials for the party receiving the incentive payment. IRS Form W-9 is available at www.irs.gov 
  • Copy of the customer's utility bill
  1. You’ll receive your rebate check within 6 to 8 weeks after verification of the approved project.

For projects where preapproval is required.
  1. Submit a signed application. Wait for preapproval before proceeding. Include the following documents to expedite processing:
  • Inventory worksheets for lighting and controls
  • Project scoping document (proposal, quote, estimate)
  • Product specifications (cut sheets)
  • IRS Form W-9 must be completed and submitted with the application materials for the party receiving the incentive payment. IRS Form W-9 is available at www.irs.gov.
  • Copy of the customer's utility bill

Note: Project expenditures made by the customer prior to the customer receiving approval of an application will not be eligible for rebates.

  1. You will be notified in writing when your project has been approved for funding. (Note: A site inspection may be required as part of our approval process.)
  2. Purchase and install the new equipment. Please contact an Energy Solutions Representative at 888.316.8023 or by email before implementing any changes to the approved project scope.
  3. Once your preapproved project is completed, please submit the completion certificate with authorized signature. Include the following required documents to expedite processing:
  • Completion certificate
  • Itemized project invoice(s) with labor and material breakdown
  • Copy of the signed rebate reservation letter
  1. If the scope of work has changed since preapproval:
  1. A site installation inspection may be required to verify equipment installation.
  2. You’ll receive your incentive check within 6 to 8 weeks after verification of the approved project.
